JOB SUMMARY

 

This position uses independent judgment and initiative to perform a variety of clerical, office management, and advanced secretarial duties in support of management, staff, and/or operations of Bibb County School District

 

DISTINGUISHING CHARACTERISTICS

 

This job has no supervisory responsibilities.

 

ESSENTIAL JOB FUNCTIONS          

  • Initiates, composes, and types memos, correspondence, reports, and other documents.
  • Serves as communications link between assigned unit and internal and external contacts.
  • Conducts comprehensive clerical research using a variety of resources to generate reports and respond to requests.
  • Completes tasks and assignments associated with administrative support functions in areas such as: personnel, budget, bookkeeping, and facilities management.
  • Provides secretarial and clerical support to office personnel.
  • Establishes and maintains filing and record-keeping systems and reference manuals/ materials.
  • Maintains staff calendars and schedules appointments, meetings, and conferences. May make travel and lodging arrangements for staff.
  • Monitors use and maintains supplies, equipment, and/or facilities for assigned unit.
  • Collects and distributes incoming mail. Prepares for delivery and sends outgoing documents and other materials.
  • Enters data from forms, records, and/or reports using a computer or terminal.
  • Attends seminars, conferences, job-related training, and other staff development training programs. May serve on committees and task forces. 
  • Performs other duties as assigned. 

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

 

Associate’s Degree in Business Education, Office Management, or related administrative/clerical training program. Five (5) years of related experience and/or training. Two (2) years of administrative/clerical experience. Experience working on current word processing, publication, and data base software application. Or an equivalent combination of education, experience, and/or training that provides the required knowledge and abilities. 

 

KNOWLEDGE, SKILLS AND ABILITIES 

  • Extensive knowledge of business English, spelling, general vocabulary, and arithmetic, and modern office practices, procedures, and equipment.
  • Ability to keep complex records, assemble and organize data, and prepare reports from such records; to compose memoranda and letters from general instructions.
  • Ability to carry out assignments on own initiative; to handle confidential and controversial matters with judgment and tact.
  • Ability to perform complex word processing and data entry/extraction.
  • Ability to operate standard office equipment such as personal computer, facsimile machine, copiers, scanners, cell phones, etc.
  • Excellent oral, written and interpersonal communication skills.
  • Skill in the operation of personal computers and supporting software including word processing, spreadsheet, and database applications.

  • Ability to establish and maintain effective working relationships with other personnel and the public.
